Library Policies: Study Rooms

Student Study Rooms Policy

The LaChance library, part of the Collaborative Learning Commons, has four study rooms that are available to students for appropriate academic use. All four are located in the Lower Level (basement) of the library. Designated room capacity cannot be exceeded.

Large study room capacities:

  • H044: 8 people
  • H050: 12 people

Small study room capacities:

  • H048: 2 people
  • H049: 2 people

Room Use Policy

  • Rooms are reservable free of charge by current MWCC students, staff, and faculty. Community users cannot reserve study rooms at this time.
  • Groups using the study rooms shall not sell or promote any material or service for private profit or gain. Persons using the study rooms are subject to all CLC, library, & MWCC policies including the library food and drink policy, library photography policy & the college code of conduct.
  • The library is not responsible for items left unattended.  
  • For safety, lights must remain on at all times.
  • Loud noises or conversation, or music/ video without headphones are prohibited; rooms are not sound proof and testing may be occurring in adjacent rooms.
  • Study room doors must remain unlocked during use.
  • Space should be left neat and undamaged. Trash should be thrown away, whiteboards erased & furniture moved back to its original locations.
  • Study rooms must be vacated ten minutes before library closing.
  • A student who reserves a study room assumes responsibility for all activity occurring in the room during the reserved time. The student is expected to immediately report any concern about the space to a CLC staff member. Concerns include, but are not limited to, damage to property, equipment issues, room temperature, or behavioral issues.

Reservation procedures

  • Reservations can be made up to 2 weeks in advance, with a two hour per day limit.
  • Users must ask an employee at the Access and Information desk if they would like to exceed the two hour limit, which can only be approved pending availability.
  • Rooms must be reserved on the library’s website at one of the service points in the Collaborative Learning Commons, or via the QR codes provided outside each room.
  • Two hours before the reservation begins, a reminder email will be sent to the student who has reserved the room. This email includes a link to confirm the reservation. Rooms must be confirmed via email.
  • If the reservation is not confirmed, the reservation will expire 15 minutes into the reserved time. The room will immediately become available for others.
  • If a user does not arrive within the first 15 minutes of their reservation, that reservation is forfeited.

Collaborative Learning Commons staff reserve the right to cancel any booking for CLC use (e.g. accommodated testing through Testing Services). CLC staff have the right to deny or cancel any reservation for reasonable cause. This includes, but is not limited to, those who:

  • reserve & confirm study rooms & do not appear 3 times consecutively
  • violate library or college policies within the study room space
  • misuse or vandalize the space
  • reserve under false credentials
  • exceed room capacity

To appeal this decision, a user must meet with the Assistant Dean of the Collaborative Learning Commons to reinstate study room privileges.

The Assistant Dean will:

  • seek out an explanation for the policy violation
  • determine an appropriate action ranging from reinstatement of privilege to a ban.
  • refer issues to Student Services or Campus Police if necessary.
